How to customize it

  • Break out every distinct deliverable or hour block as its own line item rather than one lump sum
  • Set net terms that match your actual cash-flow needs, not just an industry default
  • List every payment method you actually accept directly on the invoice, so the client doesn't have to ask
  • Reference the SOW or proposal number if one exists, for the client's own records

Common mistakes

  • One line item for 'services rendered' instead of an itemized breakdown, which makes disputes harder to resolve
  • No stated due date, only 'upon receipt,' which doesn't set a clear payment expectation
  • Payment methods not listed on the invoice itself, adding a back-and-forth before the client can even pay
  • No invoice number, making it hard for either side to reference the invoice later

Frequently asked questions

What net terms should an agency invoice use?

Net 15 or Net 30 are most common; shorter terms improve cash flow but may be less standard for larger clients with their own AP processes. Match it to what you can realistically enforce.

Should retainer and project work be on the same invoice?

It's fine to combine them in one billing period, but keep them as separate line items so the client can see exactly what each charge is for.

How do I handle a partial payment or a dispute on one line item?

Note it clearly on the next invoice or issue a credit memo — don't silently adjust the original invoice, since that removes the paper trail for what was actually billed and paid.
